Who we are

Dementia Together Wirral is a registered charity (no. 1179533) and a charitable incorporated organisation (CIO). We are the “data controller” for the personal information in this notice. This means we decide how it is used and we are responsible for looking after it.

Our registered address is Commerce House, Campbeltown Road, Birkenhead CH41 9HP.

We are registered with the Information Commissioner's Office (ICO). Our registration number is ZB724177.

If you have a question about this notice or your information, call us on 07935 797445, Monday to Friday, 9am to 5pm, or email info@dementiatogetherwirral.org

The information we collect

We only collect what we need. Depending on how you get in touch or take part, this may include:

  • Enquiries: your name, email address, phone number and your message, when you use a form on our website, call or email us.
  • Sessions, trips and events: your name, contact details and anything you tell us so we can support you safely, such as access needs or an emergency contact.
  • Volunteering: your name, contact details, the role you are interested in and your message. If you go on to volunteer with us, we also keep the details we need for your induction, training and checks.
  • Fundraising and partnership enquiries: your name, contact details, your organisation if you have one, and your idea or message.
  • Newsletter sign-ups: your email address, so we can send you our monthly calendar and news.
  • Donations: your name, contact details, the amount you give and, if you choose, a Gift Aid declaration.
  • Becoming a Friend: your name, contact details and the answers you give on our membership form.
  • Visiting our website: if you agree to analytics cookies, Google Analytics collects information such as which pages you visit and the type of device you use. The company that hosts our website also keeps basic technical records, such as IP addresses, to keep the website secure.

Some things you may tell us, such as information about your health or dementia, are called “special category” information. We only ask for this when we need it to support you, and we keep it to the people who need to know.

Why we use your information

The law says we must have a good reason, called a “lawful basis”, to use your information. We rely on:

  • Consent: when you sign up for our newsletter, or agree to us contacting you or using your photo or story. You can withdraw your consent at any time.
  • Legitimate interests: to reply to your enquiry, run our sessions and trips, organise volunteers, and thank and keep in touch with supporters, in ways you would reasonably expect.
  • Legal obligation: to keep the Gift Aid records that HMRC requires, and other records the law says we must keep.
  • Vital interests: in an emergency, when we need to share information to protect someone's life or health.

When we use information about someone's health, we ask for their consent first, unless the law allows otherwise, for example in an emergency to protect someone.

Who we share your information with

We never sell your information. We only share it with organisations that help us run our work, and only what they need. These are:

  • Webflow, which hosts our website and stores the messages you send us through our website forms.
  • Donorfy, which processes donations and Become a Friend sign-ups made through our website on our behalf.
  • JustGiving, if you give or fundraise through a JustGiving page. JustGiving is responsible for the information you give it, under its own privacy notice.
  • Our email newsletter provider, which sends our monthly calendar and news.
  • Google, which runs Google Analytics for us. It only receives information about your visit if you agree to analytics cookies, and it does not tell us who you are.
  • CookieYes, which runs our cookie banner and keeps a record of the cookie choices you make.

Some of these organisations may store information outside the UK. When they do, they must protect it to the standard UK law requires.

We may also share information if the law requires it, or if we need to protect someone from harm.

How long we keep your information

We keep your information only for as long as we need it for the reason we collected it. For example:

  • Enquiries are kept while we help you, and for a reasonable time afterwards in case you get back in touch.
  • Newsletter details are kept until you unsubscribe.
  • Gift Aid and donation records are kept for as long as HMRC requires, which is usually six years.

When we no longer need your information, we delete it securely.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information
  • ask us to stop or limit how we use it
  • object to us using it, including for keeping in touch
  • withdraw your consent at any time, where we rely on consent
  • ask us to pass your information to another organisation, in some cases

To use any of these rights, call us on 07935 797445 or email info@dementiatogetherwirral.org

We will reply within one month.

Keeping your information safe

We take care to keep your information secure. Only people who need it to do their job can see it, and the organisations that help us must keep it safe too. No website or online service can be completely secure, but if something goes wrong we will act quickly and tell you if the law requires it.

Decisions made by computer

We do not make decisions about you by computer alone, and we do not use your information to build a profile of you.

Children

Our website is not aimed at children, and we do not knowingly collect information from children through it. If you think a child has given us information, please contact us and we will delete it.

Links to other websites

Our website links to other websites, such as JustGiving, Facebook and Instagram. We are not responsible for how they use your information. Their own privacy notices apply when you visit them.

Our website uses a small number of cookies. You can find out more in our cookie policy
